THE BASICS

All managers will use People@ISS to manage employees throughout their journey with ISS, this will include when you are recruiting, onboarding, changing their details of employment (Status Change) and finally terminating them. Employees will also be able to keep personal information updated in People@ISS themselves (e.g. address, bank accounts, marital status etc). People@ISS will therefore involve large system changes, namely our: 


Recruitment system (PageUp) will be replaced by SAP SuccessFactors 


Payroll system (Chris21) will be replaced by SAP 


Job (Status) Changes system (ServiceNow) will be dramatically changed with most changes and terminations able to be conducted via SAP SuccessFactors and MyISS. 


Our Employee App MyISS will remain but will house new features to enhance employee experience and will connect directly into SAP SuccessFactors. 


A new system called Check Work Rights to track employee visa entitlements will be intergrated into Kronos


A new system called Check Vax will also be introduced to support ongoing compliance with COVID19 Vaccination

People@ISS will therefore include a few different systems, namely : 


Our recruitment system (PageUp) 


Our Payroll system (SAP) which will be replacing Chris21 as our legacy system


Job/Status Changes system will be dramatically changed with ServiceNow having a major overhau.


Our Employee App MyISS will also remain but will overtime be enhanced to house new features to support employee experience . 


A new system called Check Work Rights to track employee visa entitlements will be intergrated into Kronos.

Jacob Aarup-Anderson, ISS’s global CEO launched our new strategy “OneISS” in 2020. At its core, this strategy is focused on creating a Stronger, Simpler and Closer ISS. People@ISS is designed to help support this strategy by simplifying our people systems and bringing us all under the single network irrespective of what ISS country you are working in.  

People@ISS will use a staggered approach to go live. With our new ServiceNow going live in October 2022 with SAP going live in the first half of 2023 with an exact date to be announced closer to the date.

Yes – all employees will be impacted by this change 

ALL EMPLOYEES

As we are changing payroll systems, the look of our payslips will also change. We have heard your feedback and will look for ways to make our payslips easier to understand. Once People@ISS goes live, payslips will also only be accessible via MyISS with emailed payslips stopping. You are still able to email your payslips, but this must be enacted via MyISS

Review our knowledge portal and the available Quick Reference Guides and Videos as they  will help guide you through the use of SAP SuccessFactors. You will also be able to lodge questions from our Knowledge portal if you are unable to find  the answers you need. Finally If your questions are still not answered, please contact our dedicated People@ISS  Manager Help line on: (AUS) 1300 070 674, (NZ) TBC. This helpline will be operational from 7:00am – 7:00pm (AEST). Please note that this nunber is not yet active and will likely only be operational when SAP goes live. More communication will become avaliable when our Manager Hotline is open to enquries

If you are not currently enroled in MyISS you are strongly encouraged to register now. If you do not enrol in MyISS when we go live with People@ISS you will not be able to access your payslips. Please visit our MyISS page on the Knolwedge Portal to support you with the enrolement process.


To log in to MyISS after go live you will just need to know your new 8 digit employee ID (Username); your current password will still work.

Please note that you will need to download the app called "MyISS Australia"

Yes – ISS will ensure that all employee payments will continue as per usual. This is an  integral part of  our ‘cutover plan’ Please note that if you are on a New Zealand weekly pay run, this will also remain

Yes - Please continue to use KRONOS in exactly the same way as you did previously.  Please ensure that when we go live you use your new username (Employee ID - 8 digits) to sign on. This number will be emailed to you when we go live with People@ISS.

People@ISS is a technology driven solution. You will still be able to do your job without an email address however you will not be able to sign into MyISS and as a result you will not be able to receive your payslips. Please refer to our MyISS page in the Knowledge Portal for more information. 

All tax and super/KiwiSaver changes can be completed via your Manager. Please note that this cannot be completed in SAP. 

Annual Leave balances will be availale for review via the MyISS app. Sick Leave balances must be obtained from your manager.

All employees will be receiving a new 8-digit employee ID once we go live with People@ISS. Once active employees receive an email and a text message noting their new ID number.

MANAGERS

Review our knowledge portal and the available Quick Reference Guides and Videos as they will help guide you through the use of SAP SuccessFactors. You will also be able to lodge questions from our Knowledge portal if you are unable to find the answers you need. Yes – during the ‘cutover’ period there will be a period where you will not be able to: Hire new staff members into the business, Complete any Status/Job Changes, Access MyISS or ServiceNow. Complete Manual Pay runs. Kronos punch data will be stored in Kronos until the 'cutover' period is completed. This will ensure that there is no delay in paying employees in line without regular pay runs. Please review our “latest news” page in the Knowledge Portal for the most up to date information on the cutover and its impacts to you and your team. 

Please refer to our “Knowledge Portal” for exactly when these virtual training sessions will take place for you.

Open virtual training sessions will also be available once we have moved over to People@ISS. Simple “Quick Reference Guides” and “How to” videos are also available via our Knowledge Portal. 

Yes, please review our “Latest News” section of the People@ISS Knowledge Portal to keep up to date with what is happening. The main changes that a front-line employee will need to be made aware of are: Enrolement in MyISS to access Payslips as emailed payslips will stop.

Payslips will also look different as they will be generated by a different system. Toolbox Talks will be available closer to go live to help you with this messaging. 

Unfortunately yes. If you need to terminate a staff member who has access to IT systems (Delegate, Navision etc.) you will need to complete two terminations. Firstly you will need to terminate them from payroll via the new ServiceNow tool and you will then, seperately need to complete an IT ServiceNow ticket to formally notify IT.

Annual Leave and Sick Leave balances will be avaliable for review within KRONOS. Employees will also be able to see thier Annual Leave balances in MyISS. Other balances can be requested via thier manager through ServiceNow.

Go into the employees profile and select the section titled "Alternative Cost Distribution." Then from this screen select the effective date, cost centre and percentage cost split for the employee. Please note that dependant on your permission levels this may also need to go through an approval process.

All pre-employment information including employment contracts are held within PageUp. A document libary solution is being explored for implementation in 2023. In contract filing will be required for employee changes until this solution is ready.

THE TECHNOLOGY - SUPPORTING SYSTEMS

ISS has partnered with a provider called Check Work Rights (CWR)

 

CWR's automatically verifies all staff members visa conditions. Any staff members with insufficent visa conditions will then be red flagged to our Payroll Team.


Further to this, a new flag will also be introduced in KRONOS which will highlight student visa holders. This red flag will not notify you if they have breached maximum permitted hours but will support you in ensuring you do not roster people onto shifts that would result in a breach; it will just prompt you to have a conversation with the employee!

MyISS will remain but new features will slowly start to be rolled out . These new features will include:  


Direct access to MyLearning 


A new ‘query my pay’ button (Will be available in the near future but will not be ready for day 1 go live)


Access to a P&C knowledge portal  


Access to Job (Status) Changes and termination management section of SAP for managers (once trantioned over from ServiceNOW)


 


Please note that just prior to go live there will be a requirement to re-enroll in MyISS. 

All communication, training material and guides for managers on People@ISS will be uploaded to our Knowledge Portal. Our Knowledge Portal can be accessed via the following link: https://www.isstraining.com.au/peopleiss Once People@ISS has gone live you will also be able to access the portal via our updated MyISS app. 

Yes, Kronos will remain as our main tool for workforce management and time and attendance (signing on and off from our shifts). More information on KRONOS can be found via the following link: https://opf.issworld.com/processes/coredeliveryprocesses/kronos


When we go live employees will need to use their new employee ID number to log into Kronos. If you are the employees direct manager you will also be able to view their employee ID's via the Org Chart function in SAP SuccessFactors. 

Yes, our LMS platform MyLearning will remain. Please note that once People@ISS goes live, you will need to login to MyLearning using your new employee ID number as your Username. Alternatively if you are using an ISS computer on the ISS network you will still be able to sign on via the “Use ISS Login” button. 

As the SAP component of People@ISS is not due to go live until 2023, ISS has invested in improving the look and functionality of our ServiceNow tool. ServiceNow will still be used to managed all Job Changes and Terminations but using a much simpler system interface. This tool will be rolled out in October 2022.


Then when SAP is launched in 2023 we will begin transitioning our Job Changes and Terminations over to SAP. When this eventually occurs, we will still need ServiceNow but it will be used much less than what we have used if for historically. 70% of 'tickets' we previously lodge through ServiceNow will then be managed via SAP and will be accessible via MyISS.

Activities that will still require a ServiceNow ticket (once SAP is launched) include

  • Pay Adjustments (notification only when a KRONOS historical is available) 
  • Annual Leave Cash Outs
  • Kilometer Reimbursements
  • Super and tax adjustments
  • Employment Letter requests 
  • Long Service Leave calculations
  • Workers Compensation payments

ServiceNow is a new system we will be introducing to New Zealand to support Managers. This system will act as a 'ticketing' system and will be used to inform payroll of any actions they will need to take to support operations. 


Some examples of activities that will be completed through ServiceNow include:

  • Job Changes
  • Employee Terminations
  • Pay Adjustments (notification only when a KRONOS historical is available) 
  • kiwisaver and tax Adjustments
  • Employment Letter requests 
  • Leave cash outs
  • Kilometer reimbursements

Please note that Job Changes and Terminations will only be completed in ServiceNow until SAP is launched in the first half of 2023.

No - All historic leave requests and payslips will not be visible in MyISS once we go live. If you need to access this historic data please speak to your manager who will be able to lodge a ServiceNow ticket with payroll on your behalf.

All employees who use KRONOS do not need to reapply for leave once SAP goes live. All leave that was applied through MyISS would have passed into KRONOS and therefore will be applied appropriately; as such there is no need to re-submit your request. If you are a corporate support employee or other employee not in KRONOS you will need to reapply for leave in the new system.

Not at this stage.  This is a separate piece of work to be implemented by Group after go-live.  No timeframe has been made available at this stage.

Whilst this is a feature of SAP, it will not be available initially as more work with Global IT is required for this functionality to work.  Until this is ready, continue to initiate and terminate the IT setup process via ServiceNow.

There will be 2 prescheduled master data updates to Kronos each day.  Typically, any approved changes will take no more than 12 hours to be updated. 

Please note new employees will still need to be manually added into the system, this could take an average of two business days.

There is an option to drag and drop/enter an employee’s vaccination evidence (copy of Government issued evidence) into CheckVax which takes max 1 to 2 min per employee document upload.

As the Manager go into the employee's profile in SAP Success Factors and go into the "Job Information" section. Click on the pencil icon and select an effective date to edit the available information. Once the new screen opens find the "Pay Rule" field to adjust whether the employee needs to be active in Kronos or note. Please also ensure that other fields including "Pay Scale Group", "Pay Scale Area" and "Pay Scale Area" are accurate

THE TECHNOLOGY - SAP SuccessFactors

Yes, there is. When the SAP component of People@ISS is ready to go live you are welcome to download the SuccessFactors app to your device. However, ISS encourages all employees to use our specially designed app, MyISS. MyISS directly connects to SAP so will have similar functionality, but also has extra features like accessing payslips. 

Only "Managers"(those with a direct report) will receive login information when we go live. Emails will be automatically sent to managers. As you will have access to your own personal information as well as data on your direct employees it is important to not share your username and password with anyone. 

The Manager will be able to perform tasks directly in the system when historically they have had to rely on other support teams to manage this process form them. Managers will be able to complete job changes and manage terminations directly in the system. Please refer to our Quick Reference Guides in our Knowledge Portal and  MyLearning to guide you through how to do each of these actions. 

Maintaining employee data integrity is critical to the success of People@ISS. If this is not   kept up to date, approvals and tasks will be directed to the wrong person. It will be the role  of HR Operations and the HR Business Partner to manage team structures.

Manager’s will have increased visibility on both their own and their employees data. This will include visibility of all employees personal data.

Yes – When you are going onto a period of leave. You will be encouraged to delegate your responsibilities to another manager. If you do not do this all approvals and tasks will  pile up for your return potentially delaying critical people activities.  


 

Please note that this feature is designed as a temporary measure. You should not permanently delegate your manager responsibilities to another staff member.  

The role of the manager will be automatically assigned based off your contracts structure and hierarchy. This structure can be adjusted; but any changes must be reflective of actual operations. Managers must not, assign administrators as “the manager” in the system in order to bypass managerial responsibilities. 

New Letters of Offer are technically only needed if there is a change in employment category (CAS/PT/FT) or a change in EBA/Award coverage. ServiceNow will not generate new letters for our staff.

For SAP work is currently underway to ensure this process is working smoothly on day one. Please stay tuned for more on this.

All other Job Changes will have a one directional notification driven by the system informing the employee of the change. 

Technically no. As casual's have no guarantee of hours there will not be the need to contact your GM of P&C to add extra positions if you need to hire more casuals. On the provision that you have a free position in your structure you will technically be able to hire as many casuals as needed into the position with no impact to your FTE. 


Please also note that in Australia, Casual employees may have the entitlement to request 'casual conversation' into a permanent role. As a result it is still recommended that you consult your local P&C representative rather than just hiring casuals to avoid the need of adding to your hierarchy.

No. SAP operates off a linear reporting structure, as a result, each employee is only permitted to have one manager in the system.

Once a manager approvals the change, the information will be updated in the system within 24 hours. Please note that if the manager does not approve the action it will not be processed.

This is currently being tested, but we are confident that SAP provides us the capability to make employee changes daily which means you no longer need to align changes to commencement of pay periods.  SAP via a newly built Kronos integration and payroll system retrospective payment capability will make management of employee and pay rates changes more accurate and efficient.
